Payment terms and conditions

Payments

USA-CUBA Tours partners with Peek/Pro and accepts the following methods of payment: Visa, MasterCard, American Express, Discover credit cards, and any debit cards. We also accept personal or business check, and postal money orders. Call us at 1-888-221-2822 for further information on any payment method. All transactions should be made payable to USA-CUBA Tours.

Tour deposit

A non-refundable tour deposit of $600.00 (unless otherwise specified) is required within 3 working days of registration. If you cancel your tour 52+ days prior to departure date of tour then you may choose to apply your deposit to a future tour (within a 1 year period). Registrations are processed on a first come, first served basis and subject to availability. Tour and flight deposits will only be refunded if a tour is cancelled or the dates are changed.

The required deposit for a conference is 50% of the total conference cost (conference package + flight package). 30% of the deposit is non-refundable. This is due to Cuba’s requirement that 30% of the entire conference package be paid in advance and is non-refundable during peak season (October 30th thru March 31st).

Balance of payment

The balance of your payment is due 60 days prior to departure (except for conferences). Registrations received and confirmed by USA-CUBA Tours that are less than 60 days prior to departure date are payable in full within 48 hours of confirmation.

Conferences: During all seasons (Peak & Low) in Cuba any conference schedule within this timeframe must be fully paid 90 days prior to conference start date.

Missed payments

USA-CUBA Tours reserves the right to deny tour participation to any applicant who misses scheduled tour payments and to applicants whose checks are returned NSF, or whose credit cards are declined.

Cancellations and refunds

Schedule of refunds following client cancellation

The following refund schedule applies to all travelers (except for conferences). Notice of cancellation must be received by email and must be person who is listed as tour participant.

  • Cancellation 45+ days prior to departure. 100% of tour and flight fees will be refunded. However, all deposits are non-refundable.
  • Cancellation 31-44 days prior to departure. 50% of tour and flight fees will be refunded. However, all deposits are non-refundable.
  • Cancellation 30 or fewer days prior to departure. 0% of tour and flight fees will be refunded. All deposits are non-refundable.

Conferences: Cancellation policy for conference are as follows, with no exceptions; (Low Season)

  • Cancellation 61+ days prior to start of Conference date, there will a charge of 0%/pp of total conference package (conference + registration fee).
  • Cancellation 60-31 days prior to start of Conference date, there will be a charge of 30%/pp on the total conference package (conference + registration fee + flight package).
  • Cancellation 30-0 days prior to start of Conference date, there will be a charge of 100%/pp on the total conference package (conference + registration fee + flight package).
  • Conference No Show: If the guaranteed reservation is not used by the schedule conference start date then the total conference, registration fee, and flight costs will be charged (No credit or refund).

If you purchase trip cancellation or interruption insurance and are unable to participate for reasons due to illness or injury, then any monies paid to USA-CUBA Tours can be claimed and refunded to you by the insurance company as per the conditions outlined in their policies.

Refunds will not be offered to participants who arrive late or depart early from a tour or conference for any reason, or a no-shows.

All participants are responsible for transportation costs to their departing airport. The participant is also solely responsible for any airfare or other travel fees, charges, expenses or penalties that might result from any cancellation of or change in the participant’s tour/program, whether the participant cancels the tour/program or it is cancelled or altered by USA-CUBA Tours.

Cancellations by USA-CUBA Tours

USA-CUBA Tours reserves the right to change the cancellation policy when a substantial amount of cancellations or postponements of travel are due to; acts of God, war, natural or man-made disasters, government actions, fire, civil disorder, unavailable transportation through no fault of USA-CUBA Tours, or hostility between Nations.

In the event USA-CUBA Tours cancels any tour program for reasons beyond their control, all tour participants will have the option of a full refund (including deposits of the tour fees**), or apply these funds to another USA-CUBA Tours program being offered. ** Tour fees don’t do not include any flight package fees or deposits.

USA-CUBA Tours is not liable or obligated to refund monies paid by tour participants directly (or through USA-CUBA Tours) to third parties such as airlines. Please consider travel cancellation and trip interruption insurance.

Insurance

Medical and Travel insurance

USA-CUBA Tours provides the required medical insurance that the Cuban government expects for each traveler. This medical coverage is provided through the Charter flight packages. The required medical insurance only covers minor incidents while in Cuba and may require additional payments for services rendered. This medical insurance is not the same as the health insurance available to you at home and does not cover routine or wellness visits, or expenses that can safely wait until you get home.

Travel cancellation and trip interruption insurance is not included in the tour price, nor does USA-CUBA Tours accept responsibility for illness or accidents of any kind prior to or during travel. We strongly recommend travel cancellation and trip interruption insurance, as well as extended health insurance.

Accommodations

Single travelers

Hotel accommodations are based on double occupancy.  If you are traveling alone and wish to share a room, we will attempt to match you with another single traveler of the same sex, if available.  If no roommate is available, a single supplement fee will be charged (Introductory weekend tour of Havana add $599, Forbidden Island tour add $799, Custom tours/Conferences as stated on quote).

Changes to itineraries and accommodations

USA-CUBA Tours makes every attempt to ensure tour itinerary information is accurate. However, in circumstances beyond our control, changes may occur. We reserve the right to change itinerary activities and substitute hotels and events whenever necessary without notice. Should promised hotels be changed by Cuban agencies and suppliers, we make every attempt, where and as possible, to secure accommodations of similar quality.

Note: Cuba is undergoing some dynamic changes and is changing every day. If we are advised of any significant change that may affect your enjoyment of the travel package/conference, we will do our best to inform you in advance.

Country conditions

Cuba is considered a 3rd world country and you should be aware that Cuba may have features which may or may not appeal to you, including weather, food, water, local customs, etc. Standards, practices and conditions with respect to the provision of utilities, services and accommodation may not be comparable to those you would expect from similar establishments in the United States. By booking a tour through USA-CUBA Tours you have read and understand these conditions.

Meals and drinks

Any meals or drinks provided as part of the tour package are defined as or as stated in the official itinerary provided;

  1. Breakfast/beverage is provided by each hotel and all items provided by the hotel is the limit of what is part of the tour package considered as breakfast.
  2. Lunch/beverage is limited to one standard lunch menu entrée and beverage (no alcoholic beverages provided as part of inclusive lunch, or appetizers unless stated in itinerary).
  3. Dinner/beverage is limited to one standard dinner menu entrée, salad and beverage (no alcoholic beverages provided as part of inclusive dinner, or appetizers unless stated in itinerary).

Any meals or beverages costs above and beyond the provided inclusive meals and beverages are the sole responsibility of each tour participants.

Transportation

Transportation is provided by USA-CUBA Tours during all related excursion activities. Transportation is also provided from the airport (Havana) to the hotel (Havana) and from the hotel (Havana) to the airport (Havana) during arrival and departure.

Any other transportation and associated cost are the sole responsibility of each tour participant.

Rights and Responsibilities

Responsibilities of USA-CUBA Tours

When you book a tour with USA-CUBA Tours, you – and those on whose behalf you are booking – become party to a contract with USA-CUBA Tours and the companies providing the services in your tour package. We take great care in selecting the service suppliers (airlines, hotels, ground transportation companies, restaurants, scuba diving, etc.), which together provide the travel services you have purchased. We act solely as agents for these suppliers and exercise no direct control over these independent parties. USA-CUBA Tours is not liable for any claims, losses, damages, costs, expenses, delays or loss of enjoyment of any kind, to you or your group members, resulting from the acts, omissions or negligence of anyone other than USA-CUBA Tours employees acting properly on your behalf. If the entire program is cancelled for any reason, participants shall have no claim other than as outlined in the cancellation/refund section.

Responsibilities of the tour participant

All tour participants are expected to obey the laws of Cuba. Failure to do so will relieve USA-CUBA Tours of any and all obligations it may otherwise have to the offending tour participant. USA-CUBA Tours also reserves the right to exclude a tour participant from all or part of the program, if the participant’s conduct before or after departure appears likely to compromise the safe, comfortable or enjoyable progress of a tour. If participant is arrested due to illegal activities while in Cuba, USA-CUBA Tours WILL NOT assist the participant in any way other than to cooperate with authorities. In such a case, the tour participant forfeits any claims against USA-CUBA Tours.

Reserved right to discriminate and deny services

Our tour programs are built on and seek to realize mutual respect, understanding, dialogue, learning and friendship. USA-CUBA Tours may refuse service to any applicant, registrant or participant whose behavior, in the opinion of USA-CUBA Tours employees or Cuban vendors, would likely compromise the comfort and the peaceful enjoyment of the participants on a group tour. In such a case, the offending tour participant forfeits any monetary or legal claims against USA-CUBA Tours. Tour participants are expected to treat tour mates and Cubans with respect and consideration at all times.

Age Policy

Age requirements

Due to the educational and cultural nature of our people-to-people exchanges tours, participants on USA-CUBA Tours should be at least 12 years-old. Exceptions may be made on a case-by-case basis.

Passports & Visas

U.S. and Cuban Passports & Tourist Visa requirements

All participant are required to have a passport valid for six months after the return from their USA-CUBA Tours tour/program. Participants holding a passport from a foreign country; green card, U.S. visa, or special-use passport are solely responsible for understanding the limitations imposed on their passport, green card, U.S. visa, or special-use passport regarding re-entry back into the United States. USA-CUBA Tours cannot be held liable for a participant who is refused service by the Carrier Service Provider or entry into Cuba because of a restricted U.S. visa or Passport or denial of a visa by the Cuban government.  In the event the participant is refused entry to Cuba because of Visa or Passport issues or denial of a visa by the Cuban government, applicable cancellation penalties may apply.

All participants are responsible for having on his or her person proper documentation to enter Cuba as well as to re-enter the United States, and proper documentation to travel via a third country to Cuba. For certain categories of travel, a TSP can assist participant in applying for a tourist visa from the Cuban government and delivering it before departure. The Cuban Government retains the right to grant or deny visas.

Photos & Videos

By registering for any tour or conference through USA-CUBA Tours, you are authorizing USA-CUBA Tours to have sole and exclusive rights to use, publish, copy, print, copyright or electronically transfer any or all photographs, video, or audio clips taken by me or of me before, during, and after any Tour or Conference activity, event or function.

I also agree that USA-CUBA Tours may use such photographs, video and audio recordings taken by me or of me with or without my consent or the use of my name for any lawful purpose, including but not limited to; publicity, illustration, advertising, marketing, copyrighting and Web content.

Special Promotions

Special promotions are defined as any promotional give-a-way, such as, coupons, vouchers, internet raffle or drawing, website registration for raffle or drawing. Any special promotion, which provides a reduction in cost to travel to Cuba (airfare, hotels, shows, excursions, transportation, upgrades, and meals) shall be used with a tour package and flight package from USA-CUBA Tours. All special promotions shall be used on at least the Weekend in Havana tour package (5 days/4 nights) and any special promotions related to airfare shall be limited to airfare from Ft. Lauderdale, FL to Havana, Cuba only, unless detailed on promotional give-a-way item. Winners of any special promotion will be notified via email by USA-CUBA Tours. All special promotional give-a-ways are non-transferrable and can only be used by the winner. All registrations for any special promotion has a maximum registrations of one (1) per person and any violation of this rule can result in disqualification/removal of entries. All special promotional give-a-ways, coupons or vouchers have no cash value and are not redeemable, or have any exchange value. All special promotional give-a-ways, coupons, or vouchers are valid for up to 1 year after issuances from USA-CUBA Tours. All special promotional give-a-ways are subject to black-out periods from November 15 through February 28, 2018 through 2025. USA-CUBA Tours has the rights to nullify/void any special promotional give-a-way, coupon, or voucher if they detect any fraudulent activities or registrations that exceed the maximum limit per person. MUST be 21 or older to register for any special promotional give-a-way. Any airfare promotion give-a-ways includes round trip airfare (coach class) and does not include Cuban visa, transportation to/from airport, any checked luggage, or travel insurance.
